This Privacy Policy applies to all personal information collected by Hi Tech ITworX.

What is Personal Information

At Hi Tech ITworX, we respect the privacy needs of our valued clients.

  • (a) The Privacy Act 1988 (Cth) (Australia) defines "personal information" as information or an opinion about an identified individual, or an individual who is reasonably identifiable:
    • whether the information or opinion is true or not; and
    • whether the information or opinion is recorded in a material form or not.

     

  • (b) If the information does not disclose your identity or enable your identity to be ascertained, it will in most cases not be classified as "personal information" and will not be subject to this privacy policy.

What information do we collect?

We take reasonable steps to ensure that the personal information we collect, use, and disclose is accurate, up-to-date, and complete.

  • When using our products and services, we may collect:
    • Name
    • Contact info including Phone Number, Email, and physical address(es) of your organisation
    • Communications between you and us
    • Information about your business so that we can provide the support and perform the services you have engaged us for

How we collect your information

We collect personal information by lawful and fair means and only when reasonably necessary for our business functions

  • We may collect personal information from you whenever you input such information into this website.
  • We also collect cookies from your computer which enable us to tell when you use the website and also to help customise your website experience. As a general rule, however, it is not possible to identify you personally from our use of cookies.
  • We will collect personal information from you if you are a new client that fills out our New Client Intake
  • We will collect personal information from you during email correspondence
  • We will collect personal information from you via our ticketing system including;
    1. Tickets submitted via email
    2. Tickets submitted via the Client portal
    3. Tickets submitted via phone.

Why we collect information

To provide services as agreed upon between Hi Tech ITworX and the client.

  • To assist with support tickets raised by the client.
  • We customarily disclose personal information only to our service providers who assist us in providing services to the client. Your personal information may also be exposed from time to time to maintenance and support personnel acting in the normal course of their duties.
  • For marketing purposes – in such cases you would reasonably expect to receive from marketing content from us. We do not use sensitive personal information in direct marketing activity. Our direct marketing material will include a simple means by which you can request not to receive further communications of this nature.

How we Protect your Information

  • Limiting the amount of personal information that we collect to strictly necessary only;
  • We implement appropriate technical and organisational measures to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure, including but not limited to;
    • Using Secure connection technologies when sending or receiving personal information
    • Encrypting company computers
    • Implementing and monitoring intrusion prevention and detection systems
    • Maintaining up-to-date software
    • All office locations are protected with CCTV and 24x7 back-to-base monitored alarm systems.

Even with these measures, we cannot guarantee the security of your personal information. While we implement robust security measures, no system can guarantee absolute security. By using our services, you acknowledge and agree that we make no such guarantees and that you use our services at your own risk.

Access and Correction

The Australian Privacy Principles permit you to obtain access to the personal information we hold about you in certain circumstances and permit you to correct inaccurate personal information subject to certain exceptions. If you would like to obtain such access, please contact us as set out below.

Complaints

(a) If you have a complaint concerning the manner in which we maintain the privacy of your personal information, please contact us as set out below. All complaints will be considered by the General Manager and we may seek further information from you to clarify your concerns. If we agree that your complaint is well-founded, we will, in consultation with you, take appropriate steps to rectify the problem.

(b) If you remain dissatisfied with the outcome, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) in Australia,

Notifiable Data Breaches and Privacy Breaches

(a) In the event of a data breach that is likely to result in serious harm, Hi Tech ITworX will promptly notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme.

(b) We will take all reasonable steps to contain and remedy the data breach, investigate the cause, and update our security practices to prevent future breaches.

Overseas transfer

Your personal information will not be disclosed to recipients outside unless you expressly request us to do so. If you request us to transfer your personal information to an overseas recipient, the overseas recipient will not be required to comply with the Australian Privacy Principles, and we will not be liable for any mishandling of your information in such circumstances.

Privacy Policy Updates and Changes

This Privacy Policy is subject to updates and changes. The latest version will always be available on our website, and significant changes will be communicated to users.

Artificial Intelligence (AI) Concerns and Reporting

Hi Tech ITworX is committed to the responsible, ethical, and transparent use of Artificial Intelligence (AI) technologies within our services and business operations.

If you believe that an AI-enabled service, system, recommendation, automated process, or AI-generated content provided by Hi Tech ITworX has:

  • Produced inaccurate or misleading information
  • Generated inappropriate, biased, or discriminatory outcomes
  • Created a privacy, security, or confidentiality concern
  • Resulted in an unintended or adverse impact
  • Failed to operate as expected
  • Otherwise raised concerns regarding its use or behaviour

we encourage you to report the matter to us as soon as possible, using one of the methods outline in the How to Contact Us section of this page.

When reporting an AI-related concern, please provide as much detail as possible, including:

  • The date and time of the incident
  • The AI service, feature, or system involved
  • A description of the concern or issue identified
  • Any supporting screenshots, files, or evidence
  • The impact the issue has had on you or your organisation

All AI-related concerns and incidents will be reviewed by our management team and investigated in accordance with our internal governance, risk management, security, and compliance processes.

Where appropriate, we will:

  • Acknowledge receipt of the report
  • Investigate the issue
  • Take corrective action to minimise any identified risks
  • Communicate outcomes to affected parties where appropriate
  • Continually improve our AI governance controls and processes
